2 Simple Models to Share and Manage Files with Client Hub

We present our 2 models below for how client service firms can leverage Client Hub to simplify file sharing in the cloud with their clients. Our models explain all these facets of cloud file management: 

  • Receiving Files: Make it a drop-dead simple for clients to send files to the firm
  • Providing Files: Empower client self-service for accessing deliverables from the firm
  • Cloud File Storage: Secure, reliable file storage with easy access to internal staff 

Model 1: Client Hub for exchange + Cloud Storage Provider (SmartVault / ShareFile / DropBox / Box / OneDrive etc.) for storage and access

Set Up:  

  • Choose a Cloud Storage Provider (SmartVault / ShareFile / DropBox / Box / OneDrive etc.) for your files 
  • In Client Hub, create a workspace for a client and invite them to it.  File exchange is automatically enabled within the Messages and Client Tasks features
  • To share files (such as deliverables) with clients in a client-facing folder(s) of your Cloud Storage Provider, add a link to this folder in the Resources section

How it Works:

  • Receiving files:
    • Clients simply send you files through Client Hub using our web platform or mobile apps
    • For the ones you wish to download and store, simply download from Client Hub into your Cloud Storage Provider
  • Providing Files: 
    • Option 1: If you just need to occasionally send files to your client, simply send them through the Messages section of Client Hub
    • Option 2: If you have set up a Resources link in Client Hub to a shared folder in your Cloud Storage Provider, then clients can access their files from Client Hub here in the Resources section 
  • Cloud File storage: Use your chosen Cloud Storage Provider 

Advantages of Model 1: 

  • If you already have a Cloud Storage provider, simply continue using it alongside Client Hub
  • Your Clients get a branded, one-stop solution (Client Hub) to send and receive files
  • Cloud Storage provider offers sync tools for your team to access files on local machines (PC, Mac) and serves as a backup provider for your firm’s files

Model 2: Client Hub for file exchange and file storage

Set up: 

  • In Client Hub, create a workspace for a client and invite them to it.  File exchange is automatically enabled within the Messages and Client Tasks features
  • Create client-facing folders within Client Hub — under the Client Shared Folders 
  • Create internal folders for the client within Client Hub — under the Staff Only Folders

How it Works:

  • Receiving files:
    • Clients simply send you files through Client Hub using our web platform or mobile apps
    • For the ones you wish to download and store, simply move to the appropriate folder in Client Hub
  • Providing Files:
    • Upload files to Client Hub’s Client Shared Folders for clients to access  

Advantages of Model 2: 

  • Simplest solution to administer — everything is in Client Hub.  For those who don’t already use a different cloud file storage system, this is a good way to go.
  • Your Clients get a branded, one-stop solution (Client Hub) to send and receive files
  • Your team manages all files (internal and external) right in Client Hub
